JOB ROLE : ASSISTANT ADMIN COORDINATOR

The role is responsible for supporting the administrative operations of the organization by coordinating day-to-day activities, managing records, assisting staff, and ensuring efficient communication across departments. This role includes maintaining handling scheduling, managing correspondence, and assisting with the overall smooth running of administrative functions.

 

Key Responsibilities:

  1. Administrative Support:
  • Assist the Academic & Student Administration Coordinator with daily administrative tasks and office operations.
  • Handle incoming and outgoing correspondence (emails, phone calls, memos) and respond or redirect as needed.
  • Prepare and manage documents, reports, and presentations as required. 
  1. Record Keeping and Data Management:
  • Maintain accurate records, both physical and digital, including personnel files, inventory lists, and office documents.
  • Ensure timely and accurate filing of documents and update databases with relevant information.
  1. Scheduling and Meeting Coordination:
  • Assist with scheduling meetings, booking rooms, and organizing events as required.
  • Coordinate with other departments and external vendors for meetings, conferences, and special events.
  1. Staff and Department Support:
  • Assist various departments with administrative tasks such as data entry, filing, and correspondence.
  • Provide assistance in onboarding new employees and ensure all administrative tasks are completed.
  1. Communication and Coordination:
  • Serve as a point of contact between staff and the administration department.
  • Communicate important information, announcements, and memos to employees and stakeholders as directed by the Academic & Student administrations.
  1. Additional Duties:
  • Perform additional tasks and duties as assigned by the Academic & Student Administration Coordinator or senior management to ensure smooth operations.


Requirements

Qualifications:

·         Bachelor’s degree or Diploma in Business Administration, Management, or a related field.

·         1-3 years of experience in an administrative role or similar position.

·         Strong organizational and multitasking skills.

·         Excellent written and verbal communication abilities.

·         Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

·         Ability to work independently and in a team.

·         Attention to detail and ability to manage multiple priorities
